    The Receptionist (Contract) manages the flow of calls, visitors, mail and deliveries at the company’s US Headquarters office, handling all interactions in a manner that upholds and promotes the company’s positive professional reputation. The incumbent also provides a range of administrative support and assists in developing and maintaining detailed administrative and procedural processes that reduce redundancy, improve accuracy and efficiency, and achieve organizational objectives.


    Please note this is a contract position that will last up to 18 months


    • Warmly greets and welcomes all persons entering the reception area, including employees. As the critical “first face” of the company, fosters a positive first impression for job candidates, suppliers and other visitors.
    • Screens visitors to verify they made appointments and resolves situations politely and professionally if they haven’t.
    • Maintains knowledge of the whereabouts of key personnel in order to facilitate getting visitors swiftly to their appropriate destinations.
    • Answers switchboard phone in a warm, yet professional manner. Provides information to callers and/or transfers calls as needed.
    • Provides general clerical and administrative support. Specifically, supports HR with projects, Accounting with vouchers, and provides a range of support on other ad hoc assignments for various business areas which may include preparing letters and documents, scheduling appointments/meetings, etc.
    • Receives and sorts mail and deliveries.
    • Assists in retrieval of Legal papers, scanning in to General Counsel as requested.
    • Provides direction to various vendors (e.g., Iron Mountain/Shred It, Poland Spring, etc.) when making pickups.
    • Ensures the reception area is equipped with required office supplies and that it presents a professional appearance at all times. Provides a weekly supply order to supervisor.
    • Recommends ideas that might improve the visitor experience.
    • Performs other duties as required.


    • Minimum high school diploma or certification required. Associate’s or bachelor’s degree a plus
    • Minimum of 3 years of reception desk experience, preferably in a corporate setting.
    • Great interpersonal/communication skills coupled with a welcoming and positive attitude to greet employees and visitors.
    • Polished personal presentation.
    • Tact and discretion.
    • Knowledge of clerical and administrative procedures.
    • Ability to organize, multitask, prioritize and work well under pressure.
    • Proficient with Microsoft Office Suite (Word, Excel, Power Point, Outlook).
