Provides office related administrative support for assigned individual(s) and/or department(s) and provides guidance/supports the training needs of MTDA Administrative Assistants.


  • Performs broad office management functions across multiple buildings:
  • Administers general business programs and services that cut across functional areas, support the broader business, and serve both employees and contractors alike.
  • Serves as Notary Public, notarizing documents as needed for multiple internal organizations.
  • Support to initiate competitive bid processes, negotiates, and/or oversees a wide variety of vendor contracts (e.g., company car purchases, hotels, limo services, cell phones, telephone calling cards, copiers, office and kitchen supplies, building maintenance, office party services/supplies, etc.)
  • Continually evaluates all program services, vendors and costs, researches new options, and proposes changes as appropriate to ensure company receives cost-effective, quality service.
  • Ensures an adequate, uninterrupted supply of office supplies for all areas through effective supply management practices.
  • Provides broad support to Corporate Administration Department and specifically the daily processing of General Accounts Payables, expense reports, etc.
  • Provides executive-level administrative support to President and VPs (e.g., mail/correspondence, scheduling meetings, maintaining files, travel & hotel arrangements, processing expense reports, processing invoices and tracking expenses, etc.).
  • Support functional / corporate project-based work
  • Perform other departmental duties as assigned


  • Minimum High School degree or certification

  • Prior Pharmaceutical experience preferred.
  • A minimum of 10+ years’ of General Affairs’ and Administrative Assistant’s experience.
  • Strong MS Office skills required.
  • Highly responsive and customer-service oriented.
  • Knowledge of principles and practices of organization, planning, records management and general administration
  • Competency in Windows, MS Office (Word, Excel, PowerPoint) and other relevant computer software
  • Strong communication skills
  • Good writing, analytical and problem solving skills
  • Ability to operate standard office equipment, including but not limited to, computers, telephone systems, copiers and fax machines
